Privacy Notice

Your privacy is important to Philabundance.  This Privacy Notice (notice) outlines what personal or sensitive information (“PI”) is collected about Members and visitors to the Philabundance grocery store, Fare & Square, and how that information is used.  This notice does not apply to the practices of third parties that we do not own or control, or to individuals that we do not manage or employ.

Why Do We Need Personal Information From You?

The information you provide to Philabundance and Fare & Square on the Membership Enrollment Form allows Philabundance to provide Member services to you and enhance your experience at Fare & Square.  Should you wish to participate in the Carrot Cash Benefits program, you would provide additional information that would be used to determine your eligibility for Carrot Cash Benefits.  The Membership Enrollment information may also be used along with information about your purchases (“point of sale” information) in reporting to funding sources, to support and further the mission and goals of Philabundance.  The information we gather enables us to determine how best to serve you as a Member, and is important in obtaining continued funding vital to the continued mission and efforts of Philabundance in fighting hunger and malnutrition in the Philadelphia region.

What Information Do We Collect?

Membership Enrollment and Carrot Cash Benefits Information:

When you create a Carrot Club Account, you will provide information that could be PI, such as your name, email address, street or other postal mailing, telephone number(s), and address.  Should you wish to participate in the Carrot Cash Benefits program, you will provide additional information such as ethnicity, shopping and consumption habits, household, financial and health information.  You can choose not to participate in the Carrot Cash Benefits program and as a result not disclose that additional information to us.

Point of Sale Information:

We collect sales and certain limited payment information when you check out at Fare & Square.  Note that regarding payment information, we collect only your method of payment (for example, credit card, cash, WIC, etc.); we do not collect or store your credit or debit card account information.

Aggregate Information:

We collect statistical information about how both Members and non-Members shop for groceries.  Some of this information is derived from PI.  This statistical information is not PI and cannot be tied back to you or your Membership Account.

Additional Research Information:

Certain research by third party entities about shopping at Fare & Square will require information from our Members.  You may be contacted by the entity conducting research and asked to provide information about yourself or your shopping habits.  This research is important to the continued mission and success of Philabundance and as a result we hope you will participate.  However, you can choose not to participate or provide information.  If you choose to participate, the information you provide will be retained and protected by the entity conducting the research.

How, and With Whom, Is My Information Shared?

We will never sell your PI to third parties.  We will share your PI with third parties only in the ways that are described in this notice.

Third Party Research:

The Membership Enrollment information may be shared, along with information about your purchases (“point of sale” information), to support and further the mission and goals of Philabundance in the following way: it may be shared with third party research entities to be used in research by those third parties.

Aggregate Information:

We share Aggregate Information with our donors, funding sources, service providers, research institutions, and other persons with whom we conduct business.  We share this type of statistical data so that these groups can understand how and how often people use Philabundance Services, including Fare & Square.  In addition, these third parties may share with us non-private, aggregated or otherwise non-personal information about you that they have independently developed or acquired.

Information Shared with Our Volunteers and Others Who Assist Us:

We work with volunteers and other entities that perform certain tasks on our behalf.  These people or entities may need to have access to PI in order to provide services to us or you.  Unless we tell you differently, they do not have any right to use PI we share with them beyond what is necessary to assist us.

Information Disclosed for Our Protection and Others:

We reserve the right to access, read, preserve, and disclose any information we reasonably believe is necessary to (i) satisfy any applicable law, regulation, legal process or governmental request, (ii) detect, prevent, or otherwise address fraud, security or technical issues, (iii) respond to your requests, or (iv) protect the rights, property or safety of Philabundance, our volunteers, our Members, and the public.

Information We Share With Your Consent:

Except as set forth above, we will not share your PI with third parties without seeking your consent.

Is Information About Me Accurate, Complete and Secure?

We make every effort to protect your PI to ensure that it is accurate, complete, and kept private, in a manner consistent with industry standards.  We protect your PI by shredding any paper Membership Enrollment Forms after we transfer the information to our computer system, and by maintaining it on servers that are protected by physical and electronic safeguards.  If we transmit data to share it in any of the ways described in this notice, it is encrypted in an effort to prevent unauthorized people from viewing it.  Unfortunately, no data protection or transmission method can be guaranteed to be 100% secure.

What Information of Mine Can I Access, Change, or Delete?

You can access, change, or delete your Membership Account information by speaking with a Membership coordinator at Fare & Square.  If the PI that is on file with us changes, you may correct or update it by speaking with a Membership coordinator at Fare & Square.  Should you ever decide to delete your Membership Account, you may do so by speaking with a Membership coordinator at Fare & Square.  Please note that we will need to verify that you have the authority to delete the Membership Account, and activity generated prior to deletion will remain stored by us and may be shared with third parties as described in this notice.  If you choose to delete your Membership Account, you will no longer be able to shop at Fare & Square, unless you shop as a guest, subject to the terms and conditions of our guest shopper policy.

What Happens When There Are Changes to this Privacy Notice?

We may amend this Privacy Notice from time to time.  If we make changes in the way we collect or use information, we will notify you by posting an announcement at Fare & Square

What If I Have Questions or Concerns?

If you have any questions or concerns regarding privacy at Philabundance or Fare & Square, please speak with a Membership coordinator at Fare & Square.  We will make every effort to resolve your concerns.

What Does Signing the Membership Enrollment Form Mean?

By signing the Membership Enrollment Form, you acknowledge that you have received and reviewed the Privacy Notice, and that you consent to the collection and use of personal or sensitive information you choose to provide such as health information as described in this notice and you acknowledge that while we strive to protect your PI and other information, we cannot provide a 100% guarantee against unauthorized access.
